Why I Started Using These Prompts
I used to spend many hours on small tasks. Writing emails. Making meeting notes. Planning my week. All of this took my whole morning sometimes.
Then I start using ChatGPT more smart. Not just asking random things. I made prompts I can reuse again and again.
Now these same tasks take minutes. In this post I share the prompts that help me most. They are simple. You can copy them today.
Turn Long Text Into Short Summary
Every week I get long emails and long reports. Reading all of it takes too much time.
So I use this prompt:
"Summarize this text in 5 bullet points. Keep only the important parts. Use simple words."
Then I paste the long text below. ChatGPT give me short version fast.
I found that adding "use simple words" makes it easier to read. Without it, the summary sometimes sounds too fancy.
This one prompt save me maybe two hours each week.
Write Emails In My Own Style
I write many emails. Some are hard because I don't know how to say no politely. Or how to ask for something.
This prompt help a lot:
"Write a short, friendly email. The goal is [what you want]. Keep it under 100 words. Be polite but direct."
You just change the goal part. For example, "ask my client for feedback" or "tell my team the meeting is moved."
In my experience, short emails work better anyway. People read them fully.
Plan My Whole Week
Monday morning used to be stressful. Too many tasks and no plan.
Now I give ChatGPT my task list. Then I use this prompt:
"Here are my tasks for this week. Group them by priority. Tell me what to do first. Make a simple daily plan."
It gives me a clear order. I stop feeling lost. I just follow the plan.
This is very helpful when I have too much on my plate.
Fix My Writing Fast
Sometimes I write something but it sounds bad. Grammar is off. Sentences too long.
I use this prompt:
"Fix the grammar and make this clearer. Keep my meaning the same. Don't change my style too much."
The last part is important. Without it, ChatGPT change my voice fully. I like to still sound like me.
This save me from asking a friend to check my work every time.
Make Meeting Notes Useful
After meetings I have messy notes. Just random words and points.
This prompt turn them into something clear:
"Turn these messy notes into clean meeting notes. List the decisions we made. List the action items and who is responsible."
Now my team knows what to do. No more confusion after meetings.
Brainstorm Ideas Quick
Sometimes I get stuck. I need ideas but my brain is empty.
I use this simple prompt:
"Give me 10 ideas for [your topic]. Make them different from each other. Some can be a little unusual."
I ask for 10 because more choices is better. I keep the good ones and throw away the rest.
The part about "a little unusual" helps. It stops boring, obvious ideas.
Break Big Tasks Into Small Steps
Big tasks scare me. I don't know where to start. So I wait and waste time.
This prompt fix that:
"I need to [big task]. Break it into small steps I can do one by one. Put them in order."
Small steps feel easy. I just start with step one. Before I know it, the task is done.
My Simple Tips For Better Results
Over time I learn few things that make these prompts work better.
- Always tell ChatGPT how long you want the answer. Short or long.
- Give example if you can. It copies your style better.
- If the answer is bad, don't start over. Just say "make it shorter" or "try again with simpler words."
Small changes make big difference. Don't accept the first answer if it's not good.
Final Words
These prompts are not fancy. They are simple. But that is why they work.
I use them every single week. Together they save me many hours. Time I now use for real work or just to rest.
My advice is pick two or three from this list. Try them this week. Once they become habit, add more.
You don't need to be expert. You just need to start.
